How It Works
The time duration calculator decomposes the span between two date-time values into human-readable calendar units. Rather than dividing a raw number of seconds by fixed constants (which would produce inaccurate month and year counts), it uses calendar-aware arithmetic that respects varying month lengths and leap years.
The core formula is straightforward:
Duration = End DateTime - Start DateTime

The decomposition proceeds in stages. First, count the number of full calendar years between the two dates. Subtract those years from the span. Then count full calendar months in the remainder. Subtract those months. The leftover days become the day component. Finally, the time-of-day difference yields hours, minutes and seconds. If the end time is earlier in the day than the start time, one day is borrowed and 24 hours are added to the time difference before decomposing into hours, minutes and seconds.
Variable Definitions
Start Date is the calendar date marking the beginning of the interval. It can be any valid Gregorian date. Combined with Start Time, it forms the left boundary of the duration measurement.
Start Time is the clock time on the start date, expressed in 24-hour format. When omitted, midnight (00:00) is assumed. Including a start time lets you measure spans that do not begin at the start of a day, such as the length of a work shift or a flight.
End Date is the calendar date marking the end of the interval. It must be on or after the start date for a positive duration. If you reverse the dates, the calculator swaps them automatically and notes the reversal.
End Time is the clock time on the end date. Like the start time, it defaults to midnight when left empty. Setting both times lets you measure durations down to the second.
Edge Cases and Advanced Scenarios
Crossing a leap day. If the start date is January 15, 2024, and the end date is March 15, 2024, the span includes February 29 because 2024 is a leap year. The calculator correctly counts 60 days rather than the 59 you would get in a non-leap year. This matters for contracts, insurance policies and any document that references a specific number of calendar days.
Month-boundary rollover. Measuring from January 31 to March 1 yields one month and one day in a leap year, or one month and one day in a common year. The key is that "one month from January 31" lands on February 28 (or 29), and the remaining day or days are counted individually. This avoids the ambiguity of treating every month as 30 days, which would accumulate errors over multi-month spans.
Same-day spans. When both dates are identical, the calculator returns only the time difference. A span from 09:00 to 17:00 on the same day is 0 years, 0 months, 0 days, 8 hours, 0 minutes, 0 seconds. The donut chart then shows only the hours segment.
What to Do with Your Result
Project planning. Use the total-days figure to estimate work effort. If a project spans 127 calendar days and you work five days a week, you have roughly 91 working days. Subtract holidays and vacation to get a realistic schedule.
Contract and legal deadlines. Many legal deadlines are stated in calendar days. Verify that your count matches the requirement and pay attention to whether the deadline is inclusive or exclusive of the start date. When in doubt, subtract one day from your result to build in a safety margin.
Age and milestone tracking. Parents tracking a baby's age in months, employees calculating tenure, or anyone counting down to a birthday can use the year-month-day breakdown directly. The result is identical to what a human resources system would compute.
